It is an Outlook add-in that runs eleven outbound checks at the moment you press send. It catches the wrong recipient, typo domains, sensitive content (PII, secrets, internal markers), missing attachments, reply-all to too many people, BCC privacy slips, and VIP-recipient mistakes. Outbound only — Mail Intelligence does not look at your inbox.

Sign in to the admin portal at admin.mailintelligence.app, create your tenant, configure the modules you want active, and install the Outlook add-in from the link the portal gives you. About five minutes end to end.

Any plan that supports Outlook add-ins — Business Standard, Business Premium, E3, E5, and Frontline. We require Exchange Online; Azure AD federation is supported but not required.

Only the email you are about to send, only at compose time, only to run the modules you have enabled. Mail Intelligence does not store email bodies or attachments. Inbound mail and historical mail are never read.

Never. The grammar_spell module is the only AI-powered check, and it runs in confidential mode: no training on your data, no logging of email contents. The other ten modules are deterministic — pattern matching and rule evaluation, not machine learning.

Every warning is appealable inline. Users can override-with-justification or confirm. Tenant admins tune the per-tenant module config (accepted-domain list, custom PII patterns, VIP list, reply-all threshold) from the admin console.

Yes. Up to 25 users, ten of the eleven modules are free forever — no credit card, no time limit. The eleventh module (grammar_spell, AI grammar) is the only paid add-on. Crossing 25 users moves you to the Team plan at $2 per user per month, which includes the full package.

On the free tier, grammar_spell is unavailable — upgrade to enable. On the Team plan ($2/user/month), grammar_spell is included as part of the flat per-user fee. Grammar checking is confidential: no training on your data, no logging of email contents.

You stay on the same tenant — the admin portal will prompt you to convert to the Team plan ($2/user/month, billed annually). The Team plan covers all eleven modules including grammar_spell, with no per-check metering.
